Hello, my name is Olivia Roemer. I am a Sage Certified Consultant at Plumb, a premier Sage Partner for construction software with a team of experts in construction accounting and software solutions.

In this five part video series we will help you prepare for your year-end activities in Sage 300 Construction and Real Estate. In the third video, we discussed how to prepare for and print your W-2s using Aatrix. If you missed it, go ahead and click the link in the description below.

Today I am going to show you how to prepare and print your quarterly and annual payroll tax reports in Sage 300 Construction and Real Estate. Let’s get started.

First you will navigate to the Payroll module. Then select Tasks, Federal eFile and Reporting or State eFile and Reporting if you want to prepare your state payroll tax reports. For the purpose of this video I will show you how to prepare your 940 payroll report.

Select “New report”, then next. Pick the government form you would like to prepare, I am going to choose the 940 report. Then select the year you want to print the 940 form for. Please note that Aatrix only produces the most current payroll report form. You will see this window which displays all of your employees, if you need to exclude any employees from the report you will uncheck the box next to their name. Then hit next and generate. Aatrix will start to compile your payroll data into the annual 940 form. As you can see, the form has been filled out with all of your payroll tax information. Confirm that the information displayed is accurate. You can confirm the information by running the following report.

Navigate to Payroll, reports, Tax Preparation and select the Subject-to Employer Report.

After you have confirmed that the information is correct the only item you must fill in is the total amount of payments you made throughout the year for your FUTA taxes. If you overpaid the total tax amount, you have the option on the form to apply the credit to the next return or have the IRS send you a refund.

If your state is a credit reduction state or you work in multiple states you will need to complete Schedule A. Once you have filled in all the required information you will need to print out your tax form. Hit the green arrow next button on the top of the screen. The system will display a copy for your records. Print the form and then hit next.

The system will now display the federal copy of the 940 payroll tax return form. Print the form on standard letter size paper. Then hit finish. All that is left is to sign and mail the form to the IRS. If you prefer, for a small fee you can pay to efile the form instead.
